Introduction

Our company is looking for a Payroll Officer to support the Human Resources and Finance departments. The role includes managing payroll processes and working with department heads to keep employee time and attendance records up to date. This position is vital to ensuring accurate payroll administration in a fast-paced hospitality environment. We seek someone who is reliable, detail-oriented, and able to work well with others.

Duties & Responsibilities

  • Load, terminate, and transfer staff members on Payroll and the PRP system; complete fingerprint registration.

  • Ensure all employees clock in correctly; fix any incorrect clockings.

  • Explain first-month payment, payslip, overtime, and termination pay to new staff.

  • Share employee benefit information; ensure beneficiary forms are completed for third parties and update relevant portals.

  • Ensure managers authorise hours worked and leave transactions by the stipulated deadline; send Sage pay registers to respective managers for approval.

  • Submit salary review reports to Finance for review and approval; submit bank file to the Financial Manager for payment release.

  • Load new staff and payslips on ESS; run scheduler.

  • Perform month-end payments to terminated employees; compile UI-19s and salary schedules.

  • Reconcile EMP201s monthly and prepare for upload; reconcile all third-party transactions.

  • Submit UIF file within the monthly deadline (Finance Calendar).

  • Prepare and submit medical reconciliation, month-end reports, and GL (General Ledger) file to Finance.

  • Ensure all requirements are met for Tax Mid-year & Year End (EMP501 Recon); release IRP5s to ESS.

  • Perform Annual Leave Recons monthly to ensure alignment with PRP system.

  • Flag absenteeism trends or sick leave abuse with respective managers.

  • Process and submit all IOD claims on the COID system.

  • Maintain strong working relationships and open, transparent communication across the team.

  • Respond promptly to payroll and leave queries from management or employees.

  • Support the CEO and Financial Manager with payroll-related queries.

  • Compile and distribute the monthly birthday list.

  • Implement payroll procedures to ensure effective and efficient controls.

  • Assist with HR duties as and when required.

Desired Experience & Qualification

  • 3–5 years of payroll experience

  • Experience in Human Resources (advantageous)

  • Advanced knowledge of MS Office

  • Advanced experience with payroll systems, specifically Sage 300

  • Proven ability to manage the payroll function independently

  • Strong attention to detail

  • Effective communication and interpersonal skills
