Job Title: Reservationist 

Position Status: Part Time 

Shift: 8:00 AM - 5:00 PM Saturday and Sunday. Weekends Required.

LJA Mission Statement:

The mission of Lake Junaluska is to be a place of Christian hospitality where lives are transformed through renewal of soul, mind and body.  

Located in the Smoky Mountains of Western North Carolina, Lake Junaluska is a conference and retreat center that hosts over 50,000 overnight guests annually.  We have over 400 lodging rooms, a campground, and meeting space for up to 2,000 people.  All of our facilities are located on a scenic 1,200 acre campus which boasts panoramic views, abundant recreation opportunities, and a 200 acre lake.   Our market ranges from youth groups to affluent leisure guests primarily from the Southeastern U.S.

Essential Functions

  • Must possess excellent hospitality skills and a strong desire to foster an attitude of Christian hospitality to “exceed guest expectations”.

  • Responsible for booking housing reservations for persons, individually or as a group, requesting accommodations at Lake Junaluska. 

  • Must schedule all guest rooms and communicate specific information such as; required deposits, cancelation policy, and rooming list policies prior to arrival.

  • Responsible for the data entry and the accuracy of information entered into the hospitality systems. To include, but not limited to;

    • Reservations (received by phone, mail or on-line)

    • Confirm reservations

    • Update rooming lists

    • Posting and tracking deposits

  • Responsible for maintaining accurate and balanced folios.

  • Assist the sales and marketing department with implementing direct sales and marketing efforts.

  • Responsible for telemarketing efforts to potential new groups, current and past guests, which may include cold calling.

  • Responds to customer inquiries/complaints in a friendly, positive and timely manner.

  • Able to communicate with a variety of diverse populations in a manner consistent with the Mission of Lake Junaluska Assembly.

  • Maintain files for various conferences and events utilizing Lake Junaluska facilities.

  • Comply with all safety policies, practices and procedures and report any unsafe activities or conditions immediately to the supervisor or the Human Resources department.

  • Perform other duties and responsibilities as assigned and required.

Qualifications

Knowledge, Skills and Abilities

  • A combination of education and experience equivalent to a minimum of 1 year of relevant hospitality experience and/or training.

  • Hospitality experience strongly desired.

  • Must have demonstrated good communication skills, client relation skills, and a commitment to providing responsive and conscientious customer service.

  • Must be detail oriented with knowledge of a wide variety of software systems, word processing and spreadsheet applications, prefer Microsoft Suite. Maestro desirable.

  • Must be flexible and able to adapt to changing needs, multiple task demands, and work structures.

  • Ability to read and comprehend instructions, short correspondence, emails, and memos.

  • Ability to effectively present job related information upon request to customers, clients, and employees of the organization. 

  • Proven computer skills, organizational skills, and interpersonal skills are required.  

  • Ability to solve practical problems and handle a variety of customer, clients and employee questions. 

  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule formats.

  • Must be willing to work a flexible schedule.

Working conditions

  • Light to moderate physical activity performing non-strenuous administrative type work.

  • Well-lighted, heated and air-conditioned indoor office setting with adequate ventilation.

  • Ability to coordinate work, frequently moves about, able to stand, walk, sit.

  • Manual dexterity to handle or feel, reach with hands and arms, climb or balance, stoop, kneel. Lifts or otherwise move objects weighing up to 30 pounds.

  • Ability to talk to and hear staff and customer requests.  

  • Must have adequate vision to carry out daily activities.

  • Weekend Shift: 8:00 a.m. to 5:00 p.m. Saturday and Sunday. 

  • Nights, weekend, holiday, and overtime as required.
