Catering & Events Manager

 

GENERAL FUNCTION OUTLINE

 

 

GENERAL OVERVIEW:             Coordinates all arrangements and details for clients' functions. Effectively manage workflow within and between hotel departments to ensure clear communications and seamless executive of event details.

 

 

REPORTING RELATIONSHIP:   

Reports directly to Director of Sales and Marketing.

 

APPEARANCE STANDARDS:    Business Casual or as appropriate to client event expectations

 

KNOWLEDGE AND

SKILL REQUIRED:                      Five plus years of guest service/hospitality experience; supervisory experience strongly preferred.

Broad understanding of the tourism industry and the day-to-day operations of a hotel/resort.

 

PHYSICAL ACTIVITIES            

AND REQUIREMENTS:              Speaking, listening, and moving about, usually while standing up for a significant portion of the workday.

 

FUNCTION OUTLINE:

 

Duties:

  • Answer phones in sales office
  • Work with clients on all aspects of their event
  • Be proficient in FOSSE, Sales Force & diagraming programs
  • Generate fully detailed Event Orders
  • Distribution of Daily Events report for next day’s functions
  • Distribution of Weekly functions listings, including dates/# of guests/parking arrangements & timing
  • Confirmation of payment methods for all events in ‘the book’
  • Review of banquet checks daily
  • Conference Planning for DOSM
    • BEO’s and Diagrams
    • Input Rooming lists and
    • Handle all client questions from post-signature
  • Cutoff date & Room Pick up audit, daily/weekly
  • Manage Group Resume packet, weekly
  • Review and approval of A/V bills 
  • Processing Rewarding Events Marriott Reward points, for DOSM and SM’s
  • Attend weekly BEO meetings
  • Review Final bills ensuring billing accuracy before being sent to the client
