DescriptionScope of Position
The Banquet Coordinator is responsible for planning, coordinating, and executing banquet and event functions to ensure exceptional guest experiences. This role serves as the primary liaison between clients, sales, kitchen, and banquet operations, ensuring all event details are accurately communicated and delivered according to established standards.
Requirements
- Professional demeanor appropriate for a resort environment.
- Minimum 1-2 years of experience in administrative role preferred.
- Ability to maintain composure and objectivity under pressure.
- Demonstrate ability to handle a multitude of tasks in a fast-paced environment.
- Ability to operate a motor vehicle.
Responsibilities
- Coordinate all banquet and event details including room setup, menus, audiovisual needs, décor, timelines, and special projects.
- Prepare and distribute Banquet Event Orders (BEOs) to all relevant departments.
- Conduct pre-event meetings and post-event follow-ups with internal teams.
- Ensure events are executed according to client specifications and brand standards.
- Act as the main point of contact for clients before, during and after events.
- Respond promptly to inquiries, changes, and special requests.
- Provide on-site support during events to address client needs and resolve issues.
- Liaise with banquet staff, culinary team, housekeeping, and engineering to ensure seamless execution.
- Monitor event flow and timing to maintain service quality.
- Ensure compliance with health and safety, and sanitation regulations.
- Maintain accurate event records, contracts, and billing information.
- Assist with forecasting, inventory coordination, and event reconciliation.
- Support sales and events team with reports and event documentation.
- Perform any other reasonable request as required by management.
Education
- High school diploma or GED.
Skills and Abilities
- Ability to communicate in the English language. Second language is a plus.
- Ability to work flexible schedules including holidays and weekends and able to perform multiple tasks.
- Knowledge of proper chemical handling, cleaning techniques and use of equipment/machinery.
- Experience using computers and software programs such as Microsoft Office (Word, Excel, and Outlook).
Physical Requirements
- Able to work in a fast-paced environment.
- Ability to be physically fit to lift, pull and push items up to 50 pounds.
- Also requires standing/walking/reaching and bending throughout shift.
