Job Purpose:

To support and assist the Maintenance Management Team in the smooth running of the day-to-day operation of the Maintenance department by coordinating and following up on all administrative tasks that support maintenance operations.

Minimum Experience or Qualification:

·       Matric – Technical qualification advantageous

·       At least 5 years’ experience in a general administrative position of which proven stock control and project coordination experience is necessary. 

·       Proven understanding of Health and Safety standards

·       Computer literate with good working knowledge of Microsoft Office Outlook, Word and Excel

·       Working knowledge of a Property Management System; exposure to Opera advantageous

·       Excellent command of the English language with solid verbal and written communication skills

·       Must be able to work flexible hours including week-end, public holidays, night shifts

·       Presentable and well-mannered

·       Proven experience with stock taking and stock control processes

To support the day-to-day operations of the Maintenance department by:

  •  Ensuring that all relevant AM and PM checks are completed in accordance with SOP and record completed work.
  • Promptly coordinate resources to assisting with guest requests
  •  Ensuring a detailed handover at the end of shift to the following shift; also ensuring that there is clear open communication with housekeeping
  • Ensuring thorough and accurate record-keeping.
  • To ensure that stores are maintained and purchasing and dispatching of materials are done according to departmental standards
  •  To ensure that the monthly maintenance stores and tool stock-take is completed and ensure that any variances are investigated, resolved and reported on in accordance with the financial guidelines as set out by the Manager.
  • To ensure the administration and documentation of daily, weekly, monthly checks, invoicing, supplier deliveries etc. are completed
  • To support the Maintenance Management team in managing the team in accordance with Red Carnation Hotel Management principle
  • Ensuring that the workshop, all maintenance storage areas and your immediate work area is kept clean and tidy at all times.
