DescriptionJob Overview:
The Travel/HR Coordinator will provide on-site support for employees on travel-related matters and assist with HR-related tasks as needed. This role is responsible for efficiently arranging and coordinating domestic and international based rotational flights, hotels, and transportation confirmation for employees, ensuring accuracy and compliance with internal policies.
This is a site-based position on a 14/7 rotational schedule.
Salary Range: $79,442 - $100,716. The range provided is for contracted hours only. In addition, McDermott offers a competitive total rewards package, including project up-lift and bonuses.
ResponsibilitiesKey Tasks and Responsibilities:
Travel Responsibilities include, but not limited to:
- Maintain and update the Site Rotation Schedule spreadsheet, ensuring accurate tracking of Fly In/Fly Out Days, overtime days, and leaves.
- Coordinate and prioritize travel arrangements for employees including flights, accommodations, and transportation.
- Prepare and distribute detailed travel itineraries, ensuring employees have all necessary information and instructions.
- Serve as the primary point of contact for travel-related inquiries and assist employees in resolving travel issues accordingly.
- Manage and process approved leave request forms, ensuring all travel-related changes are made.
- Maintain accurate travel records and reports.
- Develop and maintain positive work relationships with travel vendors.
- Monitor and ensure compliance with site travel policies and procedures.
- Make recommendations for process improvements and innovations to drive efficiencies.
- Perform other duties and responsibilities as assigned.
HR Responsibilities include, but are not limited to:
- With support from the Site HR Lead, provide timely and accurate advice and guidance on general HR inquiries related general HR matters such as onboarding, benefits, timesheets, and payroll.
- Support the recruitment process through recruitment administration activities
- Update schedule changes, including leave requests within the HR System.
- Update employee documents to reflect schedule changes.
- Review weekly timesheets submissions in accordance with internal procedure.
- Assist with Benefits and Payroll Administration.
- Support onboarding and off-boarding processes, which may include conducting orientation sessions and system updates.
- HR Administration and maintenance of other HR systems as required.
QualificationsEssential Qualifications and Education:
- Prior experience in a travel coordination role is highly desirable
- Ability to work effectively under pressure
- An understanding of HR principles and practices
- Excellent communication skills, both written and verbal
- Ability to build positive work relationships quickly
- Capability to apply discretion and maintain high levels of confidentiality
