The Role As a key member of our team, the Sales and Events Manager is responsible for driving the Groups Sales Strategy and event management for Naturally Pacific Resort. This role involves managing client relationships, developing and maintaining a pipeline of business opportunities, and meeting sales goals to ensure the hotel’s growth and profitability. The Sales and Events Manager works closely with the Director of Sales & Marketing and operations team to maximize revenue and enhance the resort’s presence in the market for all potential segments.
Your contributions to the team include: Events Management
Design customized Groups & Event proposals, menus, and floor plans that align with the boutique resort’s brand and guest expectations.
Coordinate all aspects of events including F&B, audio-visual, décor, spa, golf, and accommodation requirements.
Create detailed lead/opportunities, group rooms bookings, Group Sales Agreements, Banquet Event Orders (BEOs), group resumes, and event timelines with the Sales & Events Coordinator support.
Lead pre-event meetings with internal teams to ensure flawless delivery.
Lead and coordinate weekly Event Management meetings, including review of Banquet Event Orders (BEOs), group resumes, meeting room setup layouts, and other key details.
Gather feedback and implement continuous improvements to event services.
Maintain accurate records in event management systems (Agilysys, Delphi, Amadeus, or equivalent).
Build and maintain strong relationships with key corporate clients, event planners, travel agents, and other business partners.
Respond promptly to client inquiries, negotiate rates, and close sales to secure group and event bookings.
Promote and sell hotel meeting spaces, conferences, and events, ensuring proper coordination with the operations team.
Ensure that clients receive outstanding service from initial inquiry through to booking and post-departure.
Resolve any client issues or complaints promptly to ensure a high level of customer satisfaction.
Work closely with the other hotel departments to align sales strategies and operations.
Be present at pre-agreed events on-site, including during non-business hours.
Conduct out-of-normal-business-hours tours with potential clients.
Maintain exceptional rapport with elite clientele and high-profile planners.
Ensure the highest service standards are upheld in all event-related activities.
Coordinate with relevant departments to ensure seamless event execution.
Uphold superior service standards and foster a culture of excellence.
Sales & Business Development:
Conduct proactive prospecting to drive new group business across corporate, incentive, and MICE segments.
Research potential leads through Google Alerts, Destination Marketing Organizations (DMOs), industry associations, and targeted corporate segments.
Execute outbound sales initiatives including sales blitzes, client sales calls, and B2B outreach to expand the resort’s market presence.
Maintain accurate tracking of all leads and client interactions in the CRM system, ensuring timely follow-ups and data integrity.
Represent the resort at networking events, trade shows, and industry functions to strengthen partnerships and grow brand awareness.
Organize and host familiarization tours (FAM trips) and weekly on-site hotel tours to showcase the resort’s facilities and services to travel advisors, planners, and potential clients.
Collaborate with the Director of Sales & Marketing to qualify leads, develop proposals, and convert opportunities into confirmed bookings.
Maximize revenue potential by cross-selling and upselling guest rooms, Spa, Golf, and Carve restaurant experiences.
Participate in monthly sales meetings; also, when needed.
Engage in sales training initiatives with relevant departments, such as Reservations and Front Desk.
Develop long-term partnerships to ensure repeat business and referrals.
Achieve monthly, quarterly, and annual sales targets for room revenue, event space, and other hotel services.
Report weekly on research calls, 1: 1 client meetings, new business leads, incoming calls and emails, won and lost business and funnel levels, and site tours.
Provide feedback to senior management, stakeholders and ownership on market conditions and competitor strategies.
Report on key initiatives and results at quarterly business review meetings.
Leadership & Administration
Supervise the Sales & Events Coordinators to ensure all administrative tasks are completed accurately, including creating opportunities, managing guest room and event space blocks, preparing Banquet Event Orders (BEOs), compiling group resumes, coordinating billing, and handling bookings across the Spa, Golf, and Carve restaurant.
Guarantee that all bookings are updated promptly in the system to maintain accuracy, operational efficiency and revenue maximization.
Create and implement Standard Operating Procedures (SOPs) for the Sales & Events department in collaboration with the Director of Sales & Marketing, ensuring consistency, accountability, and continuous improvement.
Provide guidance, training, and support to coordinators to maintain consistency, efficiency, and service excellence across all events.
A few things we are looking for in a new team member:
Post Secondary Degree in Hospitality Management, Business Administration, Sales, Marketing, or a related field preferred, or equivalent related experience.
3+ years of hotel sales and marketing experience within the hospitality industry.
Proven track record of successfully building and maintaining client relationships, particularly with corporate clients and event planners.
Event planning and coordination experience, including creating and orchestrating luxury events.
Familiarity with various social media and web platforms.
Strong negotiation skills with the ability to close sales and secure bookings effectively.
Experience in achieving and exceeding sales targets and goals.
Strong oral and written communication skills.
Proven ability in time management and handling multiple priorities; must be able to plan and execute effectively and efficiently and meet deadlines in a demanding environment.
Ability to work independently as well as in a team environment.
Exceptional customer-focused skills, demonstrating a commitment to providing outstanding service.
Excellent attention to detail in all aspects of work.
Proficiency in Microsoft Word, Excel, and PowerPoint required.
Availability to attend events and conduct tours outside of regular business hours as needed.
Ability to travel as required for client meetings and industry events.
Experience in participating in or leading sales training initiatives with team members and cross-functional departments.
Ability to mentor and support junior team members to achieve sales goals.
Strong understanding of hospitality industry standards and practices.
Photography, video, and video-editing experience is an asset.
