Introduction to the Reservations & Events Agent Role.

Our Group Conference & Events Executives play a vital role in delivering a great guest experience to all our guests.  They have a keen eye for detail, an organised approach and a willingness to exceed our guest expectation. Often operating on the front line, they are the real ambassadors of our company, and are committed to consistently delivering high standards.

What we require from you

Our Reservations Agents are hardworking, forward-thinking individuals who can work on their own initiative and are key players in our business.

You must be passionate about customer service with a can-do attitude.  As Reservations Agent, you will be on the front line of our company answering all incoming calls and emails and be able to manage your workload in an organised and timely manner.

Please see a summary of the responsibilities below. This list is not exhaustive

  • To answer any reservations enquiry by telephone or email as per company core standards.
  • To promote all hotel’s facilities and to up-sell to any potential client (restaurant, bar, spa, meeting space, room upgrade etc).
  • To ensure accuracy of all information entered in the reservation system - Opera.
  • To check market codes are entered correctly.
  • To check arrival list 30, 14 and 7 days prior to arrival and 24 hours prior to arrival.
  • Check, charge and chase no shows.
  • Record any denied bookings.
  • Ensure other departments are given appropriate information to ensure guest’s expectations are matched.
  • Supporting other departentments with bookings, payments, responses and providing the best guest experinece as possible.
  • Ensure all correspondence, bookings, payments are related to special events and are dealt with as per contracted deadlines.
  • Ensure prepayments are posted as per company procedure.
  • To achieve satisfactory mystery call as per company objectives (90%).
  • To participate with the revenue manager in the hotel strategy set up and ensure its application.
  • Maximise sales of special event enquiries ensuring the hotel achieves its budgeted target for M&E revenues.
  • To maximise meeting room and hotel occupancy revenue.
  • Play a pro-active role in the business planning process and the delivery of the Meeting & Events Strategy with the General Manager
  • Support the maximisation of revenue and profit for the hotel through increased conversion of the right business, maximising meeting room occupancy, rate opportunities, upselling and cross selling of properties.
  • Ensure compliance with company standards, consistently delivering a professional service and building strong working relationships with our clients, resulting in repeat clients, achieving targeted BDRC and Venue Verdict scores.
  • Have a working knowledge of how to provide support to our front office team in their absence eg. check in / check out, guest services, answering telephone
