SUMMARY   To answer and extend all incoming calls courteously and efficiently.  To maintain a high standard of service and hospitality at all times.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
 
  • To answer each call with the proper greeting and closing, which is determined by management.
  • To take complete and correct messages and relay them as quickly as possible to guests and various departments.
  • Periodic message checks to ensure that the guest message light is on.
  • Run the Jazz report in case of an emergency “911” call
  • Assist guests with dialing instruction and/or dialing.
  • Maintain the facsimile machine as management sets procedures.
  • Log all wake up requests and periodically check for accuracy.
  • To have knowledge of all key personnel and departmental functions in the hotel.
  • Knowledge of proper procedures for emergency situations.  Knowledge of alarm systems and whom to contact if a problem arises.
  • Log all phone problems and report them, when applicable, to the repair office.
  • Report any unusual occurrences to supervisor or manager on duty.
  • Registration cards to be filed daily before the end of shift.
  • Make reservations when time allows
  • Maintain knowledge of all daily activities as well as Island amenities/pricing
  • Maintain up to date numbers and information
  • Assist the Front Desk with check-ins as needed
  • Run registered guest ledgers at the end of each shift.
  • Assist the Front Office Manager in keeping up with the inventory of supplies
  • Able to project a professional manner at all times.
  • Able to stay calm in difficult situations.
  • Must regularly lift and /or move up to 10 pounds and occasionally lift and/or move up to 50 pounds.
  • Must be able to work all shifts, weekends, holidays & special events as needed.
  • Responsible for promoting the hotel core values: Honesty, Personal Integrity, and Team before self.
  • Maintain appearance standards as outlined in departmental and policies.
  • Provide information and explain Legacy Partnership Member benefits, property amenities & marketing programs to our guests. Provide courteous service to our guests and be cordial to all Team Members.
  • Communicate effectively both orally and in writing.
  • Maintain a good attendance record.
  • Perform all duties, other than the above as requested by hotel policies and/or his/her direct supervisor.
  • Completes the daily pass down log and check lists
  • Other duties as directed by management.

EDUCATION and/or EXPERIENCE
No prior experience or training.
 
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.
 
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.
